Explain the medical circumstances

A cancellation letter may describe an illness or injury and its effect on a planned trip. It provides medical evidence; the insurer or booking provider decides whether the policy or booking terms allow a refund.

What to check first

  • Ask the insurer or provider what evidence they require and whether they have a specific form.
  • Keep the planned travel dates and an accurate timeline of the illness or injury.
  • Relevant consultation records or other medical evidence may be needed to support the dates and facts.
A letter cannot guarantee a refund or successful insurance claim. Some insurer forms must be completed by your usual GP or treating clinician.

Can you complete an insurer’s own form?

Provide the exact form before assessment. The £39.99 fee covers a cancellation letter and a relevant form only where it can be completed safely within our scope. If the insurer requires your usual GP, the treating clinician or information we cannot verify, we will explain this; a letter cannot guarantee a claim payment.

What does the assessment fee include?

The fee includes GP review, a phone or video call if needed for this assessment, and a signed PDF letter if clinically appropriate. Payment does not guarantee a letter. If no letter is issued, the assessment fee is refunded in full.

What if I need a correction?

Contact us with your request reference if you notice an administrative error. One administrative correction is included. New dates, new medical information or a different purpose may require a further assessment; we will explain any fee before you agree.

What happens if my deadline is close?

We review requests as promptly as we can once we have a complete request and payment. Further evidence or a consultation may extend the time to a final decision. We cannot guarantee a letter by your deadline, so please request it in good time.

How are refunds handled?

If no letter is issued, we arrange a full refund to the original payment method and email confirmation. Your payment provider determines when the funds appear in your account. Contact us if you need help tracing a refund.

Is a medical letter the same as an insurance claim form?

No. A letter describes relevant medical facts and the GP’s opinion where supported by evidence. Your insurer may require its own medical certificate or a report from your treating clinician. Check this before requesting a private letter.

What details should I have ready?

Prepare the booking and intended travel dates, when the illness or injury started, any assessment or treatment records, and the insurer’s evidence requirements. Explain the effect on your ability to travel. Share medical evidence only through the secure clinical process when it opens.

Can a letter be written after the cancellation?

The GP would need enough evidence to describe the relevant period accurately. Retrospective evidence is not automatically possible.

What about gym memberships or events?

These are other examples of medical cancellation requests. Suitability and service scope will need to be checked individually; they are not guaranteed services. Check the organisation’s cancellation terms first.

Can you use wording requested by an insurer?

Only if it is accurate, supported by evidence and within the GP’s professional role. We cannot promise a particular statement or outcome.

Clinical judgement comes first.

You will confirm your identity and then complete the medical request form. A GMC-registered GP will assess your information and may request further evidence or a phone or video consultation. A letter will be issued only when clinically appropriate.

A GP reviews each request as promptly as possible. More information or a consultation may be needed before a decision, so we cannot guarantee when a letter will be issued.
